Drum Supply Rehearsal Access

This SOP outlines the steps to follow when setting up access for new members at Soundspace Drum Supply, which uses a Schlage number pad door lock.

Introduction

Purpose

To ensure that all new members are given secure access to Soundspace Drum Supply and that their access codes are created and communicated in a secure and efficient manner.

Scope

This SOP applies to all team members who are responsible for setting up access for new members at Soundspace Drum Supply.

Definitions

  • Schlage App: The application used to manage the Schlage number pad door lock at Soundspace Drum Supply.

  • Access Code: A unique 4-digit code assigned to each member to access Soundspace Drum Supply.

Responsibilities

  • Team Member: Creates the access code for the new member in the Schlage app and communicates the code to the member.

Procedure

Preparation

  1. Schlage App: Download and log in to the Schlage app. If you need the password, ask the IT department.

Execution

  1. Open Access Menu: Once the app is open, click "Access" in the menu.

  2. Add New Code: Click the plus icon at the top-right to add a new access code.

  3. Create Access Code Name: Create an "Access Code Name" with the format SS[First Initial][Last Name] like SSJDoe.

  4. Create 4-Digit Code: Create a random 4-digit code. If the member requests a specific code, you may use that if it's available.

  5. Set Preferences: Uncheck 'notify me when code is used" and leave the schedule set to "always".

  6. Save: Click "Save" to finalize the new access code.

Completion

  1. Communicate Code: Send an email or text message (based on the member's preference) containing the code to only the member. Treat the code with strict privacy.

  • Ensure that you treat all access codes with strict privacy.

  • Keep all communication and documentation related to the new member's access code for future reference and auditing purposes.
