While IT Ops handles data storage and automation, this guide focuses solely on the collection aspect and what happens once the data is passed back.
How to Conduct Data Collection
Identify the Need:
Before embarking on any data collection, pinpoint what information is missing and why it is crucial for achieving our strategic objectives.
Select the Appropriate Tool:
Use Memberspace for membership signups, HubSpot for customer interactions, and Typeform for research-oriented data collection.
Form/Questionnaire Design:
Utilize template-based designs where possible.
Field names should follow the underscore_case format.
Consult the Data Dictionary for field classifications and validation rules.
For MemberSpace, ensure that the signup process is seamless and collects only the essential data points.
For Typeform, ensure the survey or interview script aligns with Design Thinking principles, such as user empathy.
For HubSpot, make sure that the customer interaction points are designed for optimal data collection, as per Lean methodology.
Review and Approval:
Submit the form/questionnaire for approval from the designated authority.
Handoff to IT Ops for Storage and Automation:
After approval, coordinate with IT Ops for data storage and automation.
Test the Form/Questionnaire:
Always run an internal pilot test to ensure everything is working as intended.
Make any necessary adjustments based on the test results.
Roll Out the Form/Questionnaire:
Once tested, make the form/questionnaire live.
Collect and Monitor Data:
Keep an eye on incoming data for quality and completeness.
Use Zapier automations to funnel this data into HubSpot or Airtable as appropriate.
Review and Tweak:
Conduct a weekly review of incoming data.
Make any necessary adjustments to the form/questionnaire.
