How to Conduct Post-Collection Data Processes

  1. Identify Data Arrival Points:

    • Be notified when new forms or questionnaires are approved and made live.

    • Know which channels (MemberSpace, HubSpot, Typeform) are used for what types of data.

  2. Conduct Initial Validation and Security Checks:

    • Perform initial validation to ensure incoming data complies with the Data Dictionary.

    • Activate immediate security protocols for data integrity.

  3. Import Data to Central Repository:

    • Use secure channels to import validated data into the central repository.

    • Synchronize databases to ensure real-time data availability.

  4. Set Up Automation with Zapier:

    • Configure automated Zapier flows to funnel data into HubSpot or Airtable, as required.

    • Ensure that data paths are free of bottlenecks or errors.

  5. Monitor Data Quality:

    • Schedule regular automated audits for data quality.

    • Set up real-time dashboards for monitoring incoming data.

    • Create automated alerts for anomalies or inconsistencies.

  6. Weekly Review and Adjustments:

    • Assess the quality and integrity of newly collected data every week.

    • Make adjustments to automated flows or validation rules, as needed.

  7. Prepare for Monthly Stakeholder Review:

    • Collate performance metrics and prepare reports for monthly reviews.

    • Identify points of discussion or improvement for the meeting.

  8. Generate Final Reports in HubSpot:

    • Since HubSpot is the final destination for most data, prepare comprehensive reports here.

    • Ensure that reports align with the organization's objectives and are ready for dissemination.
