Data Collection Responsibilities
Data-collecting teams are the gatekeepers of raw information, ensuring it's not just accurately captured but also appropriately formatted and validated for further analysis and storage by the IT Ops team. Here's how the process unfolds in daily operations:
The Journey from Question to Data
Identifying Data Needs and Tools: Working hand-in-hand with department heads, data-collecting teams discern what data is crucial. The choice of tool comes next: MemberSpace for membership data, HubSpot for customer interactions, and Typeform for specialized research.
Designing Effective Forms and Surveys: Using design templates and adhering to the underscore_case naming convention, the data forms or surveys are created. Every new field is validated against the Data Dictionary before it gets approved.
Data Collection and Initial Checks: Once the forms or surveys go live, real-time monitoring kicks in. Data quality is a priority, and preliminary checks are performed to ensure accuracy and completeness.
Transitioning to IT Ops for Storage
Scheduled Data Transfer: Upon initial validation and cleaning, a scheduled, automated data transfer to IT Ops is set up. This is done through secure channels to ensure data integrity.
Zapier Automation: For funneling data into HubSpot or Airtable, Zapier automations are set up and monitored for performance.
Continuous Monitoring and Adaptation
Ongoing Oversight: Data collection is an evolving process. Weekly checks and adjustments are made based on the incoming data streams.
Collaboration with IT Ops: Regular meetings with the IT Ops team ensure that the data is not just collected but also stored, analyzed, and reported efficiently.
Toward Organizational Goals and Compliance
Monthly Reviews: A comprehensive monthly review takes place to assess the efficiency of the data collection and storage processes.
Alignment with Objectives: Data reports are generated in close collaboration with IT Ops and are aligned with the organizational objectives to ensure strategic compatibility.
