New Hire Onboarding Process
This SOP outlines the steps for onboarding new team members to ensure a consistent, efficient, and positive experience for all new hires.
Introduction
Purpose
To provide a structured process for onboarding new employees, ensuring they have the necessary access, information, and support to begin their roles effectively.
Scope
This SOP applies to the HR team, IT department, and Stack Leads involved in the onboarding process.
Definitions
Onboarding: The process of integrating a new employee into the company and its culture, as well as getting them up to speed on their roles and responsibilities.
Stack Lead: The team leader responsible for a particular area or project within the company.
Responsibilities
HR Team: Provides relevant information about the new hire to IT and the Stack Lead, and conducts a follow-up after the first week.
IT Department: Assigns Google Workspace account, adds the new hire to relevant distribution groups, assigns special permissions based on role, and adds the new hire to relevant Kisi access groups.
Stack Lead: Receives an onboarding request email and schedules a meeting with the new hire to go over job roles, answer questions, and provide necessary information or training.
Procedure
Preparation
Hiring Notification: Upon hiring a new team staff member, the HR team will provide IT and the Stack Lead with the relevant information about the new hire, including their name, role, and start date.
Execution
IT Duties: The IT department will:
Assign the new staff member a Google Workspace account/email.
Add the new staff member to the relevant distribution groups.
Assign special permissions to the new staff member based on their role. For example, the Marketing team gets access to Instagram, TikTok, Youtube, Facebook, Hubspot, and the Finance team gets access to Stripe.
Add the new staff member to the relevant Kisi access groups.
Memberspace Access: Add the new staff member to the relevant Memberspace access groups.
Stack Lead Duties: The Stack Lead will receive an onboarding request email and schedule a meeting with the new hire to go over job roles, answer questions, and provide any necessary information or training.
Completion
Follow-up: HR will conduct a follow-up with the new hire after the first week to ensure that the onboarding process has been completed successfully, and to address any feedback or concerns.
Notes/Precautions
Ensure that all steps are completed in a timely manner to provide a smooth onboarding experience for the new hire.
Keep a record of all actions taken during the onboarding process for future reference and auditing purposes.
