Data IT Ops Responsibilities
In the Soundspace ecosystem, the IT Ops team is the guardian of the data, ensuring it's not just securely stored but also appropriately classified and readily available for analysis and reporting. Here's how the process works in practice:
The Journey of Data to Secure Storage
The Central Repository: IT Ops maintains a secure, cloud-based central repository in Airtable. This is where all data, post-validation and cleaning, finds its home.
Data Influx: Multiple departments, including Sales and Marketing, funnel their cleaned and validated data through secure channels. Usually, this involves a scheduled, automated transfer of data batches.
Back It Up: Automated backups kick in every night, with incremental backups happening throughout the day.
Keeping the Data House in Order
Auditing is Routine: Audits aren't a one-off; they're part of the weekly calendar. These are mostly automated but reviewed manually to ensure classification and integrity.
Data Dictionary as The Rulebook: Each new data field is cross-referenced with the Data Dictionary to ensure uniformity in classification. If a new field pops up, it doesn't get added until it's defined here.
APIs and Integrations: The team also manages the backend of our HubSpot integration. This is where most of our customer data ends up, so it's critical to keep this pathway clear and functioning.
Legal Compliance Isnβt an Afterthought
Data Retention Policies: We maintain a detailed record of data lifecycles aligned with legal requirements, accessible only to senior IT Ops members.
Regulatory Checks: Regular sweeps are done to ensure compliance with GDPR and other applicable laws. Updates are made as needed, often ahead of schedule.
A Culture of Continuous Feedback
Monthly Pow-Wows: Every month, the IT Ops team sits down for a no-holds-barred discussion on what's working, what's not, and what could be optimized in our data management processes.
Stakeholder Input: The IT Ops team is also part of the larger data review cycle, collaborating with heads of departments to align our processes with company objectives.
